Setting up email (Fastmail / Google Workspace)

This article is for anyone who wants to send and receive email at their own domain ([email protected]) after setting up hosting with SrvBot.

SrvBot handles your web hosting. We don't host email — and that's intentional. Email is a separate service with its own reliability requirements, spam reputation, and storage needs. Bundling it with hosting creates single-point-of-failure situations that hurt both services.

Which email provider should I use?

For individuals and small teams (1–10 people), Fastmail is a solid choice. It's fast, privacy-respecting, and has straightforward DNS setup. Plans start around $5/user/month.

For teams that need Google Docs, Sheets, and Meet alongside email, Google Workspace works well. It's $6–$12/user/month depending on the plan you choose.

Both services will walk you through the DNS changes you need to make. Here's what you're setting up:

What DNS records you need

MX records tell the internet which mail server handles email for your domain. Your email provider will give you 2–3 MX record values to add at your DNS host (usually wherever you registered the domain).

TXT records are used for two things: verifying you own the domain with your email provider, and setting up SPF (which helps your emails avoid being flagged as spam). Your provider will give you the exact values.

Add those records at your DNS host and allow up to 24 hours for changes to propagate — though it's usually much faster.

What SrvBot does vs. what you do

SrvBot manages: your site's A record or CNAME pointing to our servers, your SSL certificate, and your site's DNS verification.

You manage: MX records, SPF/DKIM/DMARC records, and anything related to email delivery. These all live at your DNS host, not inside SrvBot.

If you've pointed your domain to SrvBot using our nameservers, add the MX and TXT records through your SrvBot domain panel (Domain → DNS Records → Add record). If you're using an external DNS host, add them there.
